Shuttle & Vine Terms and Conditions

By booking a Shuttle & Vine experience, you agree to the following Terms and Conditions:

1. 1. Booking & Payment

1.1 Booking Process

All bookings for Shuttle & Vine experiences must be made through our official website or directly via our booking team. We use trusted third-party systems to manage reservations and payments. By making a booking, you agree to the terms set out by both Shuttle & Vine and any relevant third-party providers.

Shuttle & Vine operates two types of experiences:

  • Private vineyard experiences, arranged exclusively for your group.

  • Shared shuttle trips, which run on fixed itineraries and scheduled dates.

The applicable terms (including cancellation timelines and inclusions) are stated at the time of booking.

1.2 Payment

Full payment is required to confirm your booking unless otherwise agreed in writing. Payment is accepted by card only. Your booking is not confirmed until payment has been processed and a confirmation email has been issued.

1.3 Refund Policy

Private experiences: Cancellations made 14 days or more before the trip will receive a full refund.
Shared shuttle trips: Cancellations made 7 days or more before the trip will receive a full refund.

No refunds are available after these periods, but you may transfer your booking to another guest subject to notice and availability.

1.4 Group Bookings & Amendments

All private experiences are arranged for your group only. The confirmed group size, itinerary and vehicle type form part of your booking agreement.
Requests to change the date, itinerary or group size after confirmation may incur additional costs and are subject to availability.

2. The Experience

2.1 What’s Included

Each Shuttle & Vine experience includes return transport and a curated itinerary of vineyard visits.

  • For private trips, inclusions such as vineyard tours, tastings and meals are clearly stated in your booking summary.

  • For shared shuttle trips, inclusions vary — some tickets include vineyard activities, while others cover transport only. Full details are shown on each experience page at the time of booking.

Shuttle & Vine coordinates your itinerary with our trusted vineyard and hospitality partners. If an experience or inclusion (such as a tour, tasting, or meal) becomes unavailable, we will make every reasonable effort to offer a suitable alternative of similar value.

2.2 Vineyard Partners

All vineyard experiences are operated by independent venues. Shuttle & Vine acts as the organiser and coordinator of your trip, not the direct provider of on-site services. Each vineyard is responsible for the delivery, safety and quality of its own experiences.

2.3 Itinerary Adjustments

All itineraries are carefully planned based on vineyard availability and travel times. Minor adjustments may occur due to weather, traffic, or operational reasons. Any significant changes will be communicated as early as possible.

2.4 Age Policy

Guests must be aged 18 or over to participate in wine tastings or any alcohol-related activities.
Children may attend private group experiences if accompanied by an adult, subject to each vineyard’s individual policy.

3. Transport

3.1 Transport Provider

All transport, whether private or shared, is operated by licensed third-party partners such as United Minibuses or other approved providers. Shuttle & Vine coordinates these services on your behalf but does not operate vehicles directly.

3.2 Travel Times & Delays

We plan all itineraries with realistic timings and buffers. However, traffic conditions, weather or other unforeseen circumstances may occasionally result in delays. Shuttle & Vine cannot be held liable for any loss, missed experiences, or inconvenience resulting from delays outside our control.

3.3 Pick-Up & Drop-Off

  • Private trips: Collection and return are arranged from your agreed location (typically Brighton, Haywards Heath, or by arrangement).

  • Shared shuttle trips: Journeys begin and end at Brighton Station unless otherwise stated.

It is your responsibility to ensure your group arrives at the meeting point on time. Missed departures will not be eligible for refunds.

4. Guest Conduct

4.1 Behaviour

All guests are expected to behave respectfully toward drivers, staff, and vineyard partners. Disruptive, unsafe or offensive behaviour may result in removal from the experience without refund.

4.2 Alcohol Consumption

Guests may enjoy alcoholic beverages at vineyard venues only. Open containers are not permitted in vehicles at any time.

4.3 Right to Refuse Service

We or our partners reserve the right to refuse service or participation without refund if a guest:

  • Appears intoxicated or unfit to travel;

  • Acts in a way that endangers others or disrupts the experience; or

  • Fails to follow reasonable safety or conduct instructions.

5. Liability

5.1 Limitation of Liability

While every effort is made to ensure a seamless and enjoyable experience, Shuttle & Vine accepts no liability for:

  • Changes, cancellations, or variations made by partner venues;

  • Delays caused by traffic, weather, or unforeseen circumstances;

  • Loss, theft, or damage to personal belongings;

  • Injuries or incidents occurring at vineyard venues or during transport, where caused by third parties.

Transport services are provided by independent licensed operators. Shuttle & Vine is not responsible for their actions or any issues arising from their operation.

5.2 Guest Responsibility

Guests participate in Shuttle & Vine experiences at their own risk. It is your responsibility to ensure you are fit to travel and to follow all safety advice issued by vineyard or transport partners.

6. Cancellations or Changes by Shuttle & Vine

6.1 Right to Cancel or Reschedule

We reserve the right to amend or cancel an experience due to:

  • Low booking numbers (for shared shuttle trips);

  • Venue closures or unavailability;

  • Severe weather or safety concerns;

  • Operational issues with transport or partners; or

  • Other circumstances beyond our control.

6.2 Guest Options

If Shuttle & Vine cancels your trip, you will be offered one of the following:

  • Transfer to a new date;

  • Credit note for future use; or

  • Full refund.

We are not liable for any additional costs such as accommodation or other bookings made independently.

7. Health & Safety

7.1 Guest Responsibility

Guests must follow all safety instructions issued by vineyard and transport partners. You are responsible for your own health and wellbeing during the trip.

7.2 Accessibility & Health Needs

Some vineyard venues may have uneven terrain or limited accessibility. Please inform us of any mobility or health requirements before booking so we can advise on suitability.

8. Privacy & Data Protection

8.1 Data Use

We collect and use personal information to manage your booking and deliver your experience. This may include sharing limited details with transport and venue partners for operational purposes.

8.2 Marketing

With your consent, we may send occasional updates about new experiences or offers. You can unsubscribe at any time.

8.3 Data Security

Your information is stored securely and handled in accordance with applicable data protection laws.
